Conference Code of Conduct

To ensure a safe, inclusive, and productive environment for all participants, the following conference code of conduct has been established. We anticipate that participants will adhere to these guidelines at all conference locations and social events that are associated with the conference. This Code of Conduct applies to all conference-related spaces, including ancillary events and social gatherings, to ensure the safety and comfort of all participants.

1. Rule of Thumb

  • Respect and Integrity: All participants, including attendees, speakers, sponsors, staff, and volunteers, must conduct themselves with respect and integrity at all times, both in-person and online. Disrespectful behavior, including derogatory comments based on race, gender, sexual orientation, disability, physical appearance, body size, race, age, or religion, will not be tolerated.
  • Professionalism : Maintain a professional and courteous demeanour in all interactions. Harassment of any form, including physical or verbal harassment, sexual images in public spaces, deliberate intimidation, or unwelcome sexual attention, is unacceptable.
  • Communication: All communications, be they verbal or electronic, should be conducted respectfully and politely. Inappropriate messaging or contact will not be tolerated.
  • Privacy and Confidentiality: Respect the privacy and personal boundaries of others. Do not share any information that is deemed confidential or private without explicit permission.
  • Compliance with Local Laws: Follow all applicable laws and regulations associated with the conference venue and locality.
  • Reporting and Enforcement: Any participant who experiences or witnesses behavior that violates this Code of Conduct is encouraged to report it to the conference organizers. Appropriate measures will be taken, which may include mediation, expulsion from the conference without a refund, and involvement of local law enforcement.

2. Anti Harassment and Inclusive Policy

A harassment-free conference experience is something that the State of the Map Bangladesh (SotM BD) organizing team is committed to providing for all attendees, regardless of their gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, or religion. In any form, we will not tolerate harassment of those who are participating in the conference. It is unacceptable to use abusive language and inappropriate imagery in any setting associated with a conference, including presentations.

Verbal comments that reinforce social structures of dominance related to gender, gender identity and expression, sexual orientation, disability, physical appearance, body size, race, age, and religion are examples of harassment. Other forms of harassment include inappropriate images and nudity in public spaces, intentional intimidation, stalking, following, harassing photography or recording, sustained disruption of conversations or other events, inappropriate physical contact, and unwanted sexual attention. When participants are asked to refrain from engaging in any harassing behavior, it is expected that they will comply immediately.

In addition, the anti-harassment policy applies to exhibitors and other groups that perform similar roles. Exhibitors need to avoid using any inappropriate material, activities, or images that represent nudity and vulgarism. The staff at the booth, including the volunteers, should not wear clothing that is sexualized or otherwise create an environment that is inappropriate in any way.

The conference organisers have the authority to take any action they deem appropriate if a participant engages in harassing behavior. This may include issuing a warning to the offender or expulsion from the conference without any possibility of a refund. If you are being harassed, if you observe that someone else is being harassed, or if you have any other concerns that you are unable to resolve among the person(s) involved satisfactorily, please get in touch with a member of the conference team as soon as possible. The escalation of the situation and the reporting of incidents by a select group of conference team leaders will ensure that repeat offenders are held accountable for their actions.

To ensure that those who are experiencing harassment can feel safe throughout the conference, the conference team will be happy to assist participants in making contact with venue security or local law enforcement, providing escorts, or providing any other assistance that may be required.
